Submission format

The IEEE format is preferred for publication, and the LaTeX templates may also be downloaded from here.

Prepare a PostScript file for the review process only. You may omit the author names and affiliations if you don't want the reviewers to know your identity. Please make sure the file prints on common PostScript printers like the HP Laserjet, and is formatted for 8.5 inch x 11 inch paper, so that the reviewer(s) can use hardcopy instead of on-line PostScript browsers. Use a text editor to verify that the file begins with "%!".

Manuscript may not exceed 10 pages of text in the IEEE format, or an equal number of words in any format submitted.

If you are concerned that your PostScript file may get blackholed en route because it is too long, you may want to compress and uuencode it. If your electronic submission contains a "%!" line, it will be treated as a PostScript file. If it contains a "begin" line, it will be uudecoded, and if the decoded filename has a .Z (note the upper case) extension, it will be uncompressed. The result must be a PostScript file, however. This is automatically handled by the downloaded script described below.


Electronic submission using shell script

Use the submission script generator to prepare and download a shell script to handle the submission process.

If you have a Unix system, simply execute the script. It will check the PostScript file, prefix the required lines and and e-mail the paper using mail. If mail does not work for you, the message file is left on disk for sending with another e-mail program.

If you do not have Unix, you need to follow the manual submission procedure, which is also explained in the downloaded script.


Electronic submission procedure (manual)

Use a text editor to prefix the following lines:
Title: title of your paper
Keywords: keywords from the prescribed list, other keywords
to your PostScript file. You may provide additional keywords of your choice, but it is mandatory to include some from the prescribed list. Keyphrases must be hyphenated. Keywords may be separated by commas or spaces. You may use more than one line for the keywords, but each line must begin with Keywords:. A space is required after the colon.

You may include additional lines as follows:

Author: Contact author
Mail-to: Contact author's full mailing address (in one line)
Phone: (include country code)
Fax: (include country code)

E-mail the PostScript file giving the address and subject as follows:

To: pact96@cs.colostate.edu or httpd@www.pact96.ibm.com
Subject: Conference paper
Important:
  1. Both the Title and the Keywords lines must be given, and some keywords must be picked from the prescribed list.

  2. Do not use colons (:) in the above lines after the key token, ie. no colons are allowed in the title, keywords, author, mailing, phone and fax addresses. (Colons are used as delimiters by the database.) This restriction does not apply to the title, address, etc. given within the PostScript.


Acknowledgement

Expect to receive an automatic acknowledgement by e-mail. The acknowledgement will tell you if your submission was received, and if so, the paper number it was assigned. Otherwise, it will tell you its best guess as to what it was unable to handle, ex: keywords are missing. This could be due to mispelling a token it was looking for, ex: Keyword instead of Keywords.

If you do not receive the acknowledgement within a day or two, it does not necessarily mean the submission failed. It might just be that your e-mail address was inaccessible from this end for some reason. You might want to test the e-mail loop. You may verify the message format by e-mailing to yourself instead of Pact96. The received message should have the prefixed lines in the order Subject, Title, Keywords before the PostScript body.


Testing the acknowledgement loop

You may test the e-mail loop by using the alternative subject line:
Subject: Conference testpaper
Pact96 will validate the PostScript and acknowledge by e-mail, but will not register the paper nor keep a copy. Once you are comfortable with the process, you should submit the paper with the proper subject line.

If things still don't work, you may send a note to the administrator.


Viewing your submission

The acknowledgement also tells you a code word assigned to your paper, which authenticates you for viewing your submission. Keep this code word confidential.

If you can view your submission online, the PostScript is probably good enough to print on the reviewer's printer.


Non-electronic (hardcopy) submission

Hardcopy submissions will be accepted from authors who do not have access to the Internet. Hardcopy submissions must follow the same format, including the 8.5 inch x 11 inch page size. Note that the deadline for hardcopy submissions is 23 Feb 1996.

Hardcopy submissions are strongly discouraged, because of the additional off-line processing they require. This option should be used only as a last resort, if electronic submission is completely out of the question.

Reporting problems by e-mail

Please include the word problem in your e-mail Subject line, so the mail handler will route it for immediate manual intervention by the system administrator.


Notes to the Program Committee

E-mail containing the words conference comment in the Subject line will be routed to a special mailbox accessible to the Program Committee. The Questions and comments on the previous menu does this for you.
